HR Assistant – Royal Hospital for Neuro-disability

Department: Human Resources

Responsible to: Senior HR Advisor (Operational)

Salary range:  £22,000 - £26,000 (dependent on experience)
Incremental reviews take place on an annual basis

Hours of work: 36 hours per week, with hybrid working

Location: Putney, Southwest London

Summary of position and the Royal Hospital for Neuro-disability

The RHN is an independent hospital and medical charity. We care for people who have brain injuries and require assessment and intensive rehabilitation for conditions such as Huntington’s disease and prolonged disorders of consciousness. Our specialist services include a ventilator unit and a neuro-behavioural unit.

We help those with the most complex of health needs and disabilities including degenerative or progressive conditions as well as providing palliative care. The patients we support usually have complex physical challenges alongside their neuro-disability.

The role

The HR team is entering an exciting period of change. We have a new opportunity for a HR Assistant to join the RHN and support the delivery of our aims within HR Operations in alignment with our People Strategy.

The HR Assistant will be part of the Operational HR Team within the Workforce function and report to the Senior HR Advisor (Operational). The key focus of the role will be to ensure all aspects of the HR operational service are delivered to an excellent standard.

The Workforce function consists of three teams that work closely together – HR, Resourcing & Retention, Organisational Development and Learning & Development and Staff Engagement, Wellbeing & Inclusion. Together, we are focused on delivering our new People Strategy that is closely aligned to the RHN’s strategic objectives. Main Objectives of the role

The key deliverable of this role is to provide a variety of project and administrative support to the Operational HR Team, including:

  1. Providing a full range of administration support for HR related matters.
  2. Supporting and assisting the HR team across employee relations, on-boarding, payroll.
  3. Ensuring HR Systems are used to full functionality.
  4. Reporting and analysing data to share with team and organisation.
  5. Providing a responsive and professional service to internal and external stakeholders.
  6. Supporting and actively participating in HR development projects to assist with the on-going improvement of the HR Service; seeking out opportunities to refine and streamline practice.

 

Key Responsibilities

  1. Be the first point of contact for general HR queries providing advice on HR policies and procedures, and terms and conditions of employment
  2. Provide a full range of HR administration including; drafting letters, contracts, honorary contracts filing, providing references, stationery orders etc.
  3. Manage the HR inbox, responding to general queries regarding annual leave, references, contractual enquiries and honorary contracts. Responding within SLA’s and escalating where necessary.
  4. Systems support – maintain the general upkeep of the HR Information Systems. Provide support to staff using the system, delivering training and support sessions for key stakeholders and managers where necessary.
  5. Support Snr HR Advisor and HR Advisor with compliance across the hospital. Update and monitor our trackers on sickness, employment changes, right to work checks, DBS, professional registrations.
  6. Support HR Advisor with end to end processing of Payroll including new starters, employment changes and leavers.
  7. Support managers with informal stages of sickness management. Take minutes in formal sickness and employee relations meetings as requested.
  8. Provide support and advice on ad-hoc HR projects.
  9. Assisting the Resourcing team with regular recruitment days.

 

Qualifications and Knowledge

Essential

  • Educated to degree level or equivalent experience.
  • Knowledge of HR practices and key principles.

Desirable

  • 1+ years’ experience of working within an HR team 
  • CIPD qualified or willing to work towards it.
  • HR, English or Social Sciences degree.
  • Project Management qualification or vocational learning.

 

Experience and skills

  • Experience and knowledge of intermediate – advanced Microsoft Office Suite.
  • Strong written and verbal communication skills.
  • Strong stakeholder and interaction skills that bring people together and inspire action.
  • Excellent attention to detail.
  • High-level of customer service.
  • Organised, structured, and flexible working style.

Desirable

  • Experience of using HR Information Systems
  • Basic knowledge of employment law and employee relations processes
  • Strong analytical skills including the ability to triangulate information across the wider Workforce function.
