Salary range: £26,000 (dependent on experience)

Summary of position and the Royal Hospital for Neuro-disability
We are seeking an Estates Administrator to join our Estates and Facilities team within RHN. Your key responsibility is to manage enquires both internally and externally on the ‘Help Desk’. This includes managing Estates Officers diaries, monitoring Estates Capital and Revenue budgets, and providing information required by the Estates team. You will also support the Compliance Officer in the development and on-going administration of the compliance management systems and Estates Procedure Manuals.

Main Objectives of the role
- Providing a helpful and friendly ‘Help Desk’ Service, accurately recording client requests, relaying them to the relevant Estates Officer, dealing with telephone queries and general correspondence with empathy and professionalism.
- Acting as the Ambassador for the Estates Department helping to develop a positive ‘can do’ culture.
- To participate in the promotion of a positive approach within the Department ensuring good and effective communication at all levels.
- Liaise with the Estates Team in the Office, Workshops, Heads of Departments, Executive Assistants, Ward Managers, Contractors, External Consultants and the Facilities Team.
- Demonstrate an awareness of RHN’s objectives and contribute to achieving them appropriately.

Key Responsibilities
- To understand and interpret budget statements from various sources correctly in order to prepare financial reports for the Head of Estates.
- To regularly liaise with financial staff to ensure that financial information relating to commitments and spend is up to date at all times.
- To monitor the expenditure across a number Revenue & Capital Budgets.
- Assist the Estates Officers with regards to issues on rotas for the Department.
- Maintain accurate sickness, annual, leave, study leave etc for all staff in Estates & Projects Section on a departmental staff planner.
- Take responsibility to ensure that statutory training compliance is recorded and reported on designated system.
- Ensuring all office equipment is functioning correctly, arranging for repair or replacement as necessary.
Qualifications
Essential
- GCSE Maths and English at Grade C or above
Desirable
- Degree or equivalent Professional Qualification
Essential Experience
- Must provide evidence of working on an estates helpdesk in a healthcare or commercial environment for a minimum of two years, covering the following elements:
- Dealing with contractors for inductions, issuing of access cards and permits
- Management and issuing of keys and equipment
- Management of internal and external queries/requests
- Understanding of building terminology
- Must provide evidence of working with a purchasing systems for the procurement of goods and services.
- Must provide evidence of working in a healthcare environment
